A POP Server is an email server that helps email applications retrieve messages by email. e.g. Outlook, Thunderbird, or Apple Mail. Like IMAP, POP is a standardised, RFC- compliant protocol chosen by email servers or clients to be compatible with.

Important Note: If you are looking to set up email messages in a client such as Microsoft Outlook, configure Gmail's POP server settings. You can set up POP settings if you want to receive mail. To access emails effectively, you should use Gmail SMTP server settings for outgoing messages.


Steps to Add Gmail to Outlook Using a POP Server:

  • Enable POP access for the Gmail account
  • Go to the Outlook desktop app. Go to File> Account Settings (info sections) and choose Account settings from the drop-down menu
  • In the Account Setting Window. Go to the Email Tab. Now click new to add a new external email account for POP access
  • Type your Gmail address in the blank field. Go to Advanced Options and choose the option LET ME SET UP ACCOUNT- MANUALLY. Then click Connect to continue.
  • Go to the Advanced Setup Window, select POP from the available options
  • Follow the Next screen, type your Gmail password, and hit connect
  • Using the credentials, you can connect with Outlook. Once done, connect the Window with the new success message
  • Finish Done to see the new Gmail account in the Outlook email account list
To see if a Gmail POP account works, go to the send/receive menu in Outlook, and click send/receive all Folders. However, see a status Window pop-up showing the send/receive syncing process. Once you are done with the process, email messages from your Gmail account will display in your Outlook inbox under that. It may take a few hours if your Gmail has a lot of emails, the syncing process may take more hours.

 
 For mobile users:

Set up a Gmail account via POP in the Outlook mobile app for both Android & iOS.
  • When you launch the Outlook app, it’ll recognize the email account on your smartphone.
  • By selecting the Gmail account, it’ll show permission to access it.
  • Now you’ll have another screen with Gmail accounts.
